Use this checklist as a recurring tool to diagnose fuzziness, reduce ambiguity, and reinforce clarity across your systems and teams.
Best used quarterly or during transitions (new process, new hire, new initiative).
[ ] Do we have a shared definition for every key object (e.g., lead, opportunity, pipeline stage)?
[ ] Can every stakeholder articulate how a process works, without needing a meeting to explain it?
[ ] Are exceptions to rules the norm? If so, have they been deliberately designed or unconsciously tolerated?
[ ] Is there recurring confusion around roles, handoffs, or priorities?
Tip: Look at repeated questions in Slack, recurring meeting clarifications, or conflicting reports; they signal hidden ambiguity.
